These Terms of Service ("Terms") govern your access to and use of the ExpenzX application and website (the "Service"), operated by ExpenzX ("we", "us", or "our"). By accessing or using the Service, you agree to be bound by these Terms. If you do not agree, please do not use the Service.
1. Eligibility
You must be at least 16 years old to use ExpenzX. By using the Service, you represent that you meet this requirement and that the information you provide is accurate and complete.
2. Your Account
ExpenzX accounts are created through Google sign-in (OAuth). You are responsible for maintaining the security of your Google account and for all activity that occurs under your ExpenzX account. You must notify us promptly of any unauthorised use.
3. The Service
ExpenzX is a personal and business finance tracking tool. It allows you to record income and expenses, scan receipts, set budgets, manage recurring transactions, store financial documents, and generate reports. Feature availability, usage limits, storage limits, and upload limits depend on your subscription plan.
ExpenzX does not connect to bank accounts and does not provide financial, investment, tax, or legal advice. All information and AI-generated suggestions provided by the Service are for informational purposes only. You are solely responsible for your financial decisions.
4. Subscription Plans and Billing
4.1 Plans
ExpenzX offers a Free plan and two paid plans, Pro and Premium. Current pricing and the features included in each plan are described on our Pricing page. Premium document storage is currently limited to 1 GB per account, and individual document uploads are currently limited to 10 MB, unless we publish different limits in the Service.
4.2 Payment
Paid subscriptions are billed through Stripe on a monthly or annual basis, depending on the option you select. By subscribing, you authorise us (via Stripe) to charge the applicable fees to your chosen payment method on a recurring basis until you cancel.
4.3 Renewal and Cancellation
Subscriptions renew automatically at the end of each billing period unless cancelled beforehand. You may cancel at any time through your account settings or the billing portal. Upon cancellation, you retain access to paid features until the end of your current paid period, after which your account reverts to the Free plan.
4.4 Plan Changes
You may upgrade or downgrade at any time. Upgrades take effect immediately. Downgrades take effect at the start of your next billing cycle.
4.5 Refunds
We offer a refund within 7 days of your first paid charge. After this period, payments are non-refundable except where required by law. Refunds are processed through Stripe and may take time to appear on your payment method depending on your bank or card issuer.
5. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable laws
- Upload content that is illegal, infringing, or malicious
- Upload payment card numbers, bank login credentials, national identity numbers, health records, or other sensitive information unless it is necessary for your lawful use of the Service
- Attempt to gain unauthorised access to the Service, other users' data, or our systems
- Interfere with or disrupt the integrity or performance of the Service
- Circumvent rate limits, usage restrictions, or subscription tier gates
- Reverse engineer, scrape, or resell any part of the Service without our written permission
6. Your Content
You retain all rights to the financial data, receipts, and documents you upload ("Your Content"). You grant us a limited licence to store, process, transmit, analyse, and display Your Content solely to provide, secure, and support the Service to you, including processing receipts and budget data through AI services as described in our Privacy Policy. You are responsible for ensuring you have the right to upload Your Content. We may remove content or restrict access if we reasonably believe it is unlawful, infringes third-party rights, creates security risk, or breaches these Terms.
7. Backups and Data Export
You are responsible for keeping your own backup copies of any financial records, receipts, documents, reports, or other content that you need to retain for accounting, tax, legal, business, or personal purposes. ExpenzX is not a substitute for your own record-keeping system. We take reasonable steps to protect the Service, but you should not rely on ExpenzX as the only copy of important records. We are not responsible for loss, corruption, or deletion of Your Content unless it results from our breach of these Terms, negligence, or wilful misconduct, or where liability cannot be excluded by law.
8. AI-Generated Output
The Service uses artificial intelligence to extract data from receipts and to generate budget suggestions. AI output may contain errors or inaccuracies. You should review all AI-generated categorisations, descriptions, amounts, dates, and suggestions before relying on them, especially for accounting, tax, or business records. We are not liable for decisions made based on AI output.
9. Service Availability
We aim to keep ExpenzX available and reliable, but we do not guarantee uninterrupted access. The Service is provided on an "as is" and "as available" basis. We may modify, suspend, or discontinue features at any time. Certain AI features depend on third-party services and may be temporarily unavailable, in which case the Service falls back to non-AI behaviour where possible.
10. Third-Party Services
ExpenzX relies on third-party providers including Google (authentication), Microsoft Azure (hosting, storage, and AI), and Stripe (payments). Your use of the Service is also subject to those providers' terms. We are not responsible for the acts or omissions of third-party providers.
11. Intellectual Property
The Service, including its software, design, branding, and content (excluding Your Content), is owned by ExpenzX and protected by intellectual property laws. These Terms do not grant you any right to use our trademarks or branding without prior written consent.
12. Termination
We may suspend or terminate your access to the Service if you breach these Terms or use the Service in a manner that may cause harm to us, other users, or third parties. You may stop using the Service at any time. If you want to delete your account, contact us at support@expenzx.com; deletion requests are handled as described in our Privacy Policy.
13. Disclaimers and Limitation of Liability
To the maximum extent permitted by law, ExpenzX disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be error-free or that AI output will be accurate.
To the maximum extent permitted by law, ExpenzX shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, data, or financial loss arising from your use of the Service. Our total liability for any claim relating to the Service shall not exceed the amount you paid us in the twelve months preceding the claim.
14. Changes to These Terms
We may update these Terms from time to time. We will post the updated version on this page and revise the "Last updated" date. Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
15. Governing Law
These Terms are governed by the laws of England and Wales, without regard to conflict-of-law principles. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where applicable consumer protection laws require otherwise.
